Introduction
Bips LLC (“Bips,” “we,” “us,” or “our”) provides an AI-powered bookkeeping platform for small businesses. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our website, mobile applications (available on iOS and Android), and services (collectively, the “Services”). Our Services are primarily intended for users located in the United States.
By using our Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use our Services.
Information We Collect
Information You Provide
When you create an account or use our Services, we collect information you provide directly, including your first and last name, email address, password, business name, business industry, entity type, and your goals for using Bips. We also collect any additional information you voluntarily share through our chat features or support communications.
Financial Information from Linked Accounts
When you connect your financial accounts, you will be prompted to authorize access through Plaid Inc., our bank linking service provider. Plaid’s collection and use of your data is governed by the Plaid End User Privacy Policy, available at https://plaid.com/legal/#end-user-privacy-policy.
Through Plaid, we receive transaction history, account balances, account details, and related metadata. We use this data to generate financial reports, categorize transactions, and provide bookkeeping insights.
We do not receive, access, or store your bank login credentials or full account numbers. Your credentials are transmitted directly to Plaid and are never shared with Bips.
Location Data
Our mobile application includes a mileage tracking feature that uses your device’s GPS to calculate distances traveled for potential IRS mileage deductions. When you start a trip, the app collects precise location data in the background, including when the app is not in the foreground, to ensure accurate mileage tracking while you drive. Background location access is only active during trips you have explicitly started and remains active until you end the trip.
Your location data is stored in our encrypted database. We do not sell, share, or disclose your location data to any third party.
You may revoke background location permission at any time through your device settings. If you revoke location access, you may still manually enter mileage within the app. Please note that revoking location permission may reduce the accuracy of automated mileage tracking.
Information Collected Automatically
When you visit our website or use our Services (including our mobile applications), we may automatically collect certain information including your IP address, browser type, device information (including device identifiers, operating system version, and app version), pages visited, and interactions with our Services. We may use cookies and similar tracking technologies, including analytics and advertising pixels, to collect this information.
If you enable push notifications on our mobile application, we collect push notification tokens to deliver notifications to your device. You can disable push notifications at any time through your device settings.
How We Use Your Information
We use the information we collect to provide, maintain, and improve our Services, including generating profit and loss statements, categorizing transactions, tracking mileage, and providing AI-powered financial insights. We also use your information to process payments and manage your subscription, communicate with you about your account, respond to your inquiries, and analyze usage patterns to improve our Services.
Use of Artificial Intelligence
We use AI to analyze your transaction data and provide automated categorization and financial insights. Our AI service providers process this data under contractual terms that prohibit them from using your data to train their models or retaining your data beyond what is necessary to provide the service.
We do not use your personal data to train or fine-tune large language models. We may use your individual transaction history to improve categorization accuracy within your account through personalized transaction preferences.
We may analyze transaction patterns, which may include personally identifiable information, to improve our service quality. Access to this data is restricted to authorized personnel, and we minimize the use of personal data in our analysis to what is reasonably necessary.
How we Share Your Information
We do not sell your personal information.
We share your information with service providers who assist us in operating our Services, including:
• Plaid Inc. for financial account connections
• Our payment processor for subscription billing
• Cloud infrastructure providers for data storage and hosting
• Authentication services
• AI service providers for transaction categorization and chat functionality
• Analytics providers for service improvement and quality monitoring
These providers are contractually obligated to use your information only to provide services to us and to protect your information in accordance with applicable law.
Referral and Business Partners
We may partner with referral organizations that direct users to our Services. If you sign up for Bips through a referral partner link, we may share limited information, such as your email address, with that referral partner for the purpose of verifying referral attribution and calculating revenue share obligations. We will identify the referral partner at the time of your signup, and by proceeding, you consent to this limited data sharing. Referral partners are contractually prohibited from using your information for any purpose other than referral verification.
Tax Preparation Partners
If you elect to use a Bips tax preparation partner, we will share your name and email address with the assigned tax preparation professional to facilitate communication regarding your tax filing. Your tax partner will not have access to your financial data within Bips unless you independently provide your CPA Export Package to them. Tax partners are independent professionals and are not employees or agents of Bips.
Banking Partners
Bips may refer you to third-party financial institutions, such as Utah Community Credit Union (“UCCU”), for banking products that may complement your business needs. If you choose to explore or apply for a financial product through a partner institution, any applications, identity verification, and account management are handled entirely by the partner institution on their own systems. Bips does not receive, access, or store any application data, identity verification information, or account details from these partner institutions. The partner institution’s own privacy policy governs their collection and use of your information.
We may also disclose your information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
Data Retention and Deletion
We retain your information for as long as your account is active or as needed to provide you with our Services. When you cancel your subscription, we delete your user data from our active systems. Residual copies may persist in encrypted backups for a limited period as part of our standard data recovery infrastructure, after which they are automatically purged. You may delete your account at any time through your account settings, and you may request additional privacy actions by contacting us.
We may retain certain information as required by law or for legitimate business purposes, such as maintaining records for tax and accounting purposes, resolving disputes, or enforcing our agreements.
Data Security
We implement appropriate technical and organizational measures to protect your information, including encryption of data at rest and in transit. While we take reasonable steps to protect your information, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
Data Breach Notification
In the event of a data breach that compromises your personal information, we will notify affected users as required by applicable law, including the Utah Data Breach Notification Act. Where required, we will also notify relevant regulatory authorities. We maintain incident response procedures designed to promptly identify, contain, and remediate security incidents, and to mitigate the impact of any breach on affected individuals.
Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal information.
All Users
You may access, correct, or delete your account information at any time through your account settings. You may request a copy of your data or ask us to restrict or stop processing your information by contacting us. You may opt out of marketing communications by following the unsubscribe instructions in those messages. You may revoke your consent for Plaid to access your financial accounts at any time by unlinking your accounts within the Services or by contacting Plaid directly through their privacy portal.
California Residents
Under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), California residents have the right to know what personal information we collect, request deletion of personal information, opt out of the sale or sharing of personal information, and not be discriminated against for exercising these rights.
We do not sell personal information. We may share limited personal information (such as email addresses) with referral partners for referral attribution purposes as described in this Privacy Policy. California residents may opt out of this sharing by contacting us at the email address below.

Utah Residents
Under the Utah Consumer Privacy Act (UCPA), Utah residents have the right to access their personal data, request deletion of personal data they have provided, obtain a portable copy of their personal data, and opt out of targeted advertising and the sale of personal data.

Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child, we will delete that information promptly.

We will notify you of material changes by posting the updated policy on our website, within our mobile application, and updating the “Last Updated” date. Your continued use of our Services after any changes constitutes your acceptance of the updated Privacy Policy.
As part of signing up to use Bips, users are required to accept both our Privacy Policy and our Terms and Conditions.
